With operations all over the world, CNH designs and builds industrial solutions for the agricultural and construction sectors. The company’s products include tractors, combine harvesters, backhoe loaders, and many other types of specialty equipment, as well as maintenance, parts and financing services.

A future-facing enterprise, CNH is constantly innovating. The company has recently forged a partnership with SpaceX Starlink, enabling it to bring data-driven capabilities, such as precision crop treatment, to even remote rural locations.

Giovanni Gregorutti, group HR operations and digital solutions lead at CNH, explained, “In the past, CNH relied on another group to provide its HR services and technology, including HR information systems, payroll, and other key capabilities. Given the criticality of these HR processes, we decided to internalize both the platforms and the HR operation as timely and efficiently as possible, deploying new HR systems and processes, including 10 new payroll systems for 35,000 employees in 30+ countries.”

“We decided to take the opportunity to consolidate our multiple global HR organizations into a global HR operations model, with five regional HR operations teams for each of our geographies,” continued Gregorutti. “To underpin the new HR operation approach, we selected SAP SuccessFactors as our new HR platform.”

To complement SAP SuccessFactors®, CNH looked for an enterprise content management (ECM) solution that met its rigorous requirements around security, scalability, and ease of use.

“We had a hard deadline to switch over to a new HR system,” stated Gregorutti. “The clock was also ticking when it came to migrating our records from the old platform. In total, we had hundreds of thousands of documents to bring across, including sensitive information such as employee pay slips. We looked for a partner that could support our content management needs for the long term, including migrating our HR records across in time.”

Selecting a best-in-class ECM solution

In the past, CNH used a range of paper and digital document management processes for HR across its global business. This HR program presented a valuable opportunity for the company to consolidate on a single, central enterprise content management platform.

“I knew that OpenText had a reputation for being one of the top ECM solution providers in the market, so I’m delighted that we selected OpenText Content Management for SAP SuccessFactors,” recalled Gregorutti. “The OpenText solution enables us to protect our sensitive data, use low-code approaches to build out new HR workflows, and deliver tight integration with all HR transactions in SAP SuccessFactors.”

Partnering with OpenText Professional Services

With the clock ticking, CNH needed to complete its deployment of OpenText Content Management for SAP SuccessFactors and migrate hundreds of thousands of records from its legacy document management platforms within a matter of months. To help it beat the deadline, the company engaged OpenText Professional Services.

“It was absolutely critical to complete our SAP and OpenText projects on time,” said Gregorutti. “We were very impressed with the FasTrak methodology that OpenText brought to the table. The OpenText Professional Services team gave us a proven set of templates and accelerators to enable us to rapidly deploy OpenText Content Management for SAP SuccessFactors and begin the all-important data migration.”

Beating a tight migration deadline with the FasTrak methodology

Through its partnership with OpenText, CNH hit its strict go-live target. In total, the company migrated three million documents to OpenText Content Management for SAP SuccessFactors, including pay slips, tax records, and other important HR-related documents.

“This was a complex project with many different moving parts, and we worked together almost continuously for more than seven months,” commented Gregorutti. “The combination of OpenText Professional Services and the FasTrak methodology played an important role in helping us meet our migration deadline. Looking ahead, we are working with OpenText again to digitize paper HR records in our North American and Latin American businesses.”

As soon as we bring the onboarding documents into the SAP solution, they now flow into the new employee folder in OpenText Content Management automatically. Overall, this new approach has dramatically reduced document management work for our HR teams.

By standardizing on OpenText and SAP solutions across its global business, CNH is transforming its approach to HR. For example, HR managers previously needed to request records access by opening a ticket with the company’s previous HR service provider. Today, HR managers can access this information themselves in seconds.

“When dealing with time-sensitive matters, it’s vital for HR managers to have fast access to information, but with the old way of working, there was a lead time of hours or days,” commented Gregorutti. “With OpenText Content Management for SAP SuccessFactors, HR managers get information faster.”

He added, “In the future, we’re going to use the OpenText solution to enhance employee experience, too. By enabling self-service capabilities, employees will be able to access contracts, performance evaluations, bonus letters, and other records directly in the OpenText solution.”

Reduced document management work

CNH is also using OpenText Content Management for SAP SuccessFactors to streamline other core HR processes. For example, the company is harnessing the integration between OpenText and SAP solutions to accelerate the onboarding process.

“In the past, HR teams at our manufacturing sites would manually scan employee onboarding documents and then send them to our HR provider, which was a time-consuming manual process,” explained Gregorutti. “We recently implemented a digital onboarding flow in SAP SuccessFactors. As soon as we bring the onboarding documents into the SAP solution, they now flow into the new employee folder in OpenText Content Management automatically. Overall, this new approach has dramatically reduced document management work for our HR teams.”
