Leading construction contractorMajor concrete company enhances the employee onboarding experience with OpenText Core Content Management for SAP SuccessFactors

Over five decades, this leading construction contractor completed thousands of projects, from building sports stadiums to renovating structures. A pioneer in its field, the company was the first concrete contractor in the country to implement a national safety program.
To help attract, recruit, and retain a top-level workforce, the organization embraced SAP SuccessFactors™ human capital management (HCM) suite. Fueled by AI and delivered via the cloud, SAP SuccessFactors solutions enable the company to use digital workflows and data-driven insights to improve HR experiences, decisions, and processes.
According to the company’s human resource information systems (HRIS) manager, “We began our journey with SAP SuccessFactors, and we’ve never looked back. Beginning with Employee Central, we’ve since deployed a wide range of SAP SuccessFactors solutions, including Performance & Goals, Career Development Planning, Recruiting, and more.”
Building on the positive impact of SAP SuccessFactors, the organization decided to streamline the new-hire journey by implementing SAP SuccessFactors Onboarding. The aim was to replace time-consuming, paper-based onboarding activities with a fully digital workflow: offering greater convenience for employees and improved efficiency for the business.
“In the past, almost all our employee records were on paper,” explained the HRIS manager. “It was costly for us to store so many physical records, while retrieving information during audits and legal discovery exercises was very time-consuming. With [SAP] SuccessFactors Onboarding, we saw the opportunity to enhance the experience for new hires while saving our HR team valuable time.”
With the move to new onboarding workflows, the company knew that it would need to manage a large volume of electronic HR documents. To maximize its investment in [SAP] SuccessFactors Onboarding, the organization looked for a solution to help it effectively manage the new digital records.

Implementing OpenText Core Content Management for SAP SuccessFactors was the easiest deployment I have ever done—it really was a breeze.
The construction contractor selected OpenText™ Core Content Management for SAP® SuccessFactors. Integrated directly into SAP SuccessFactors processes, the SaaS solution allows the company to manage employee documentation at scale, simply and securely.
Accelerate employee processes with seamless HR integration
Modernize your information management with certified experts
After evaluating a number of content management solutions, the construction company determined OpenText Core Content Management for SAP SuccessFactors was an ideal fit for its needs. As well as direct integration with SAP SuccessFactors, the OpenText solution allows the company to offer role-based access based on permissions configured in Employee Central—helping to ensure records are well-protected and secure.
“Initially, we considered using our existing document management platform for SuccessFactors Onboarding, but we saw that we would gain an extra security advantage by keeping HR documents in a separate system,” explained the HRIS manager. “After we saw a demo of all the capabilities of the OpenText solution, we were convinced we’d made the right choice.”
Working with OpenText Professional Services and technology partner Phoenix, the construction contractor deployed OpenText Core Content Management for SAP SuccessFactors as its HR document management platform.
“Implementing OpenText Core Content Management for SAP SuccessFactors was the easiest deployment I have ever done—it really was a breeze,” recalled the HRIS manager. “The OpenText and Phoenix teams worked together seamlessly. Thanks to the strong partnership between all the stakeholders, we completed the rollout in just eight weeks—helping us avoid any downstream delays to our SuccessFactors Onboarding implementation.”
With OpenText Core Content Management for SAP SuccessFactors at the heart of its new approach to employee onboarding, the organization can replace time-consuming manual work with slick automated processes.
“I love the workflow and approval capabilities of OpenText Core Content Management for SAP SuccessFactors,” said the HRIS manager. “In the past, employees used to send us their documents via email or on paper. Now, new hires upload everything via an automated workflow powered by the OpenText solution. As well as ensuring that documents are routed to the correct internal teams, the digital approach is much faster and easier for our HR professionals.”

OpenText Core Content Management for SAP SuccessFactors is a very user-friendly solution—everyone that has worked with it has loved it.
With the OpenText solution, the organization empowers its HR teams to locate employee records in minutes, reduce paper-related costs, and lay the foundation for faster communications—all while enhancing the employee experience.
Since it deployed the OpenText solution, the construction contractor has transformed its approach to records management. While the company has retained its existing paper archives, its more recent employee records are instantly accessible via OpenText Core Content Management for SAP SuccessFactors—helping the organization strengthen its compliance posture while freeing time for value-added HR activities.
“It used to take us a full week to receive a box of paper from our storage facility and then trawl through the documents to find the requested records,” explained the HRIS manager. “By contrast, when we get asked to produce a document for an employee whose data is stored in OpenText Core Content Management for SAP SuccessFactors, we can deliver it in a matter of minutes.”
In the long term, the construction contractor plans to digitize its extensive archive of paper records and store them on OpenText™ Core Content Management. Moving from paper to digital processes will give the company the opportunity to implement centrally managed retention policies for employee data, helping ensure that records are kept for the required period and then deleted.
The HRIS manager added, “We see a big opportunity to reduce our operational costs by decommissioning our physical archives and minimizing the need to print and work with paper. In the long term, we predict that OpenText Core Content Management for SAP SuccessFactors could help us reduce paper-related expenses.”
Looking ahead, the company will extend its use of OpenText Core Content Management for SAP SuccessFactors by moving digital records currently stored on other document management systems onto the OpenText solution. The company also sees potential to further streamline its HR processes by leveraging capabilities such as interactive document creation.
“The document creation capability in OpenText Core Content Management for SAP SuccessFactors will make it much easier for our HR team to communicate information such as policy changes to the workforce,” concluded the HRIS manager. “OpenText Core Content Management for SAP SuccessFactors is a very user-friendly solution—everyone that has worked with it has loved it. We’re only scratching the surface of what the OpenText solution can do, and we’re excited to start using more of its capabilities.”
