According to the company’s human resource information systems (HRIS) manager, “We began our journey with SAP SuccessFactors, and we’ve never looked back. Building on the positive impact of SAP SuccessFactors, the organization decided to streamline the new-hire journey by implementing SAP SuccessFactors Onboarding. The aim was to replace time-consuming, paper-based onboarding activities with a fully digital workflow: offering greater convenience for employees and improved efficiency for the business.

“In the past, almost all our employee records were on paper,” explained the HRIS manager. “It was costly for us to store so many physical records, while retrieving information during audits and legal discovery exercises was very time-consuming. “It used to take us a full week to receive a box of paper from our storage facility and then trawl through the documents to find the requested records,” explained the HRIS manager. “By contrast, when we get asked to produce a document for an employee whose data is stored in OpenText Core Content Management for SAP SuccessFactors, we can deliver it in a matter of minutes.”

Reduced operational costs

In the long term, the construction contractor plans to digitize its extensive archive of paper records and store them on OpenText™ Core Content Management. Moving from paper to digital processes will give the company the opportunity to implement centrally managed retention policies for employee data, helping ensure that records are kept for the required period and then deleted.

The HRIS manager added, “We see a big opportunity to reduce our operational costs by decommissioning our physical archives and minimizing the need to print and work with paper.
