Open Text Completes Rollout of Industry’s Most Advanced E-mail Management Solutions
Integrates E-mail Archiving, Records Management and Search Capabilities. A Total E-mail Management Suite for Today’s Compliance Challenges
Chicago, IL. - 2005-04-21 - Open Text™ Corporation (NASDAQ: OTEX, TSX: OTC), the world’s largest provider of Enterprise Content Management (ECM) software, said today it is completing rollout of the industry’s most advanced e-mail management software as part of its Livelink ECM Solutions. The solutions include the first-ever integrated platform combining e-mail archiving, records management and search capabilities. Open Text announced the news at its European user conference LiveLinkUp Europe 2005, under this week in London, Paris and Munich.

Open Text first announced its plans for e-mail management solutions late last year. The solutions include three e-mail management offerings to meet the varying needs of content users -- from basic e-mail archiving, to more sophisticated solutions that enable email management for regulatory compliance or legal discovery.

Designed to work with Lotus Notes and Microsoft Exchange, the solutions combine key components, including: Classification, indexing and search; integration with records management capabilities and the ability to address specific legal, policy and compliance requirements; archiving capabilities and integration with storage systems.

The explosion in e-mail has become a huge concern for organizations around the globe. Every day, billions and billions of e-mails are created worldwide. With e-mail piling up, organizations are desperate for better and more cost effective ways to store e-mails, improve the performance of their e-mail systems and add greater intelligence to manage e-mail in accordance with growing legal and regulatory requirements.

“E-mail has become ‘Exhibit A’ in some of the biggest corporate legal battles of our time,” said Jens Rabe, Director of Compliance Solutions at Open Text. “E-mail is vital to business communication but carries growing regulatory and legal risks that companies must address with new technology. We’ve created a cost effective, adaptable platform that integrates all the components needed to effectively address the e-mail challenge.”

• E-mail Archiving: Designed for organizations requiring lower storage costs and improved system performance, this solution provides a basic e-mail archiving infrastructure. E-mails and attachments are offloaded from e-mail servers to the archive without any change in the user experience. Users can still see and access the e-mails—icons define which e-mails are in the archive. The underlying archive tightly integrates into all leading storage platforms. The solution also offers search capabilities and the flexibility to configure rule-based or interactive archiving. • E-mail Management: Integrates all the e-mail archiving capabilities with advanced records management capabilities in Open Text’s Livelink ECM Solutions. The e-mail management solution lets customers set specific retention and disposition policies to e-mails and manage them as corporate records. Users simply drag and drop messages into records management folders, where they are automatically classified. The e-mail management solution includes full-text search, interactive classification, retention management, auditing and a complete records management system for e-mails—with all of these features available from the user e-mail client. • E-mail Monitoring: This solution adds strong support for legal discovery processes and structured retention management of all emails without exposing that monitoring functionality to the end user. The e-mail monitoring solution offers robust search and discovery across the entire chain of e-mail communication in an organization. The solution also offers the ability to place retention holds on emails under investigation; the ability to journal and archive all incoming and outgoing e-mail; audit trails, automatic classifications and the ability to create workflows. These e-mail offerings are part of the fully integrated Livelink ECM Platform, which Open Text announced earlier this week. The solutions are available standalone or within the context of a larger ECM solution.
