Open Text Integrates LegalKEY® Records Management with Symantec Enterprise Vault
Gives Law Firms Complete Solution for Email Management to Meet Compliance Requirements
Summit 2007, Huntington Beach, California - 2007-02-14 - Open Text Corporation (NASDAQ: OTEX, TSX: OTC), the largest independent provider of enterprise content management (ECM) software and solutions, today announced the integration of Open Text LegalKEY® Records Management with Symantec Enterprise Vault, giving law firms a complete email management solution for capturing and archiving emails as official records to meet internal policies and compliance requirements.
Open Text announced the news today at its Summit 2007 user conference underway this week in Huntington Beach, California.
The volume of email in law firms today continues to rise rapidly, as does the need to manage email and associated attachments in a cost-effective, efficient manner. Without proper records management technologies in place for all content, including email, firms are exposed to risk, lost opportunities, and higher storage costs.
The integration between LegalKEY and Enterprise Vault extends LegalKEY s matter-centric approach to encompass email flowing through Microsoft Exchange servers as well as email stored in archives. This allows users to search for items associated with a particular matter and get all relevant items back, including emails stored in multiple repositories, improving discovery capabilities.
We ve realized that we increasingly need to treat emails as important documents and therefore need the ability to declare them as records, find them quickly in relation to a particular matter, and store them securely, said Christopher Hood, Director of IT at Kobayashi, Sugita, & Goda. The integrated approach Open Text has taken will allow us to automatically move email to our Enterprise Vault implementation to optimize email server performance and still maintain the granular content and records control while leveraging the retention and records management features available in LegalKEY that we need for regulatory compliance.
To ensure high user adoption and minimize training, the interface for LegalKEY Records Management is incorporated into Microsoft Outlook. Through the integration between LegalKEY and Enterprise Vault, all metadata associated with an email, such as client or case number, is retained and fully searchable.
The integration between Symantec Enterprise Vault and Open Text LegalKEY brings together rich functionality and ease of use with market-leading archival and storage capabilities, said Nick Mehta, vice president of product management, Information Foundation, Symantec. This complete solution enables law firms to comply with policies and regulations for email archiving and retention, including the new amendments to the Federal Rules of Civil Procedure.
Law firms need to be able to track and manage emails based on associated matter and to manage the retention of those emails to improve discovery capabilities, said Bill Forquer, Executive Vice President, Compliance Solutions Business at Open Text. Symantec Enterprise Vault offers law firms a flexible archiving framework for email and other content. This integration is in response to our customers requirements to manage emails as records while taking advantage of the email archiving capabilities of Enterprise Vault.
Symantec Enterprise Vault is a widely installed email and document solution in the legal industry. It provides a software-based, intelligent archiving platform that stores, manages, and enables discovery of corporate data from email systems, file server environments, instant messaging platforms, and content management and collaboration systems. Because not all data is created equally, Symantec Enterprise Vault utilizes intelligent classification and retention technologies to capture, categorize, index, and store target data to enforce policies and protect corporate assets while reducing storage costs and simplifying management. It also provides specialized applications, such as Discovery Accelerator and Compliance Accelerator, which mine archived data to support legal discovery, content compliance, knowledge management, and information security initiatives.
LegalKEY Records Management, a core component of Open Text Legal Solutions, provides law firms with a single interface for the comprehensive management of all electronic and physical information related to a client/matter file, regardless of source of origin or media type. It is designed to help law firms minimize risk, and to accommodate multi-tiered retention and destruction policies and risk management protocols. Records professionals can perform full-text indexing on all electronic documents, emails and attachments, and document images to provide for the most precise searches possible, making it easy for staff to request, reserve, or modify the information. With LegalKEY Records Management, law firms improve departmental efficiencies by accelerating the recording process and eliminating data integrity issues associated with manual records management practices.
