Livelink Provides End-to-End Lifecycle Support for Acrobat 6.0 and Adobe PDF

Solutions Integrate Documents, Data, Workflows Across Business Processes

Paris, France - 2003-05-12 - Open Text Corporation (Nasdaq: OTEX, TSX: OTC), provider of Livelink®, the leading collaboration and knowledge management software for the global enterprise, said today it is introducing new Livelink features that will provide end-to-end support for Adobe's solutions for integrating documents across business processes and throughout the lifecycle of critical documents. The solutions integrate documents, data and workflows, giving companies consistent, secure processes for managing important legal and regulatory documents.

The new capabilities include an extension of Open Text's relationship with Adobe Systems Incorporated (Nasdaq: ADBE) to add support for Adobe's recently announced Acrobat® 6.0 software. Open Text outlined the capabilities to Livelink customers today at LiveLinkUp Paris, Open Text's European user conference.

Open Text's solutions for the Adobe Portable Document Format (PDF) help companies manage the creation, collaboration and use of important documents in order to meet regulatory and security requirements in many industries. Adobe PDF is widely used in companies to ensure that original documents can't be changed when in circulation. This reduces the risk of errors or improper use of documents that are needed for regulatory filings or mandated records retention purposes, and ensures that documents are handled in accordance with laws and regulatory requirements. Industries where the solutions are most in demand include pharmaceuticals, financial services and manufacturing, as well as government agencies.

"With growing regulation over the management of electronic information, the handling of critical legal and regulatory documents has become a major area of risk for many companies," said Bill Forquer, Senior Vice President of Business Development at Open Text. "Customers want to reduce that risk by using a reliable format for documents, combined with uniform, defined processes that extend throughout the enterprise and which control how each document is handled. The capabilities we're delivering with Adobe offer customers immediate ROI by combining the process and document controls needed for regulatory compliance, with the flexibility that allows people to collaborate effectively on documents."

"Combining the strengths of Open Text's Livelink and Acrobat 6.0 technologies will provide customers a compelling solution for driving document-based business processes," said Harry Vitelli, Vice President of Business Development, ePaper Business Unit, Adobe. "Because the solution leverages Adobe PDF throughout, customers can trust in everything the format promises, including file fidelity across platforms and a free viewing platform that is truly ubiquitous."

The new offerings integrate Livelink, Acrobat 6.0, and Adobe PDF technology, to fully support the collaborative management of PDF documents in Livelink. The integration provides a robust but flexible process for effectively managing multiple, parallel reviews of an Adobe PDF document, allowing users to concurrently review an un-modifiable PDF version of a document and record their comments and suggested changes in Livelink. All commenting actions are recorded in the Livelink audit trail. The input from reviewers can then be assessed and consolidated by editors, who are the only ones with access to the original, which is securely protected in Livelink. The integration also provides additional robust controls to guard against the misuse of documents.

Open Text is also offering features at other key stages of the document lifecycle, including:

  • Capturing and rendering solutions, which enable Livelink users to convert a wide range of different document types to PDF with complete accuracy.

  • Forms creation and management capabilities. The ability to create complex Adobe PDF forms with hundreds of fields, combined with links to databases for automated field filling and outputs to existing application databases.

  • Workflow-managed control of PDF document security and rights settings.

  • Solutions for scanning paper documents into Livelink and securing them in PDF. Many customers still conduct paper-based business transactions or have historical data in paper form that must now be captured and managed in electronic form.

  • Digital signature capabilities, which allow signatures to be applied to PDF documents. Digital signatures are combined with security features that define who can sign a document and audit trails, which preserve a record of signing activity.

Open Text's Adobe PDF solutions are integrated with Livelink's task management, notification, audit and report features, as well as Livelink's workflows, which allow documents to be managed through pre-defined electronic processes for document reviews and approvals.
