Brings Physical Records Paper Files, Books-to Collaboration and Knowledge Management
Chicago, IL - 2002-06-18 - Open Text Corporation (Nasdaq: OTEX, TSX: OTC), provider of Livelink®, the leading collaboration and knowledge management software for the global enterprise, today introduced Livelink Records Management 2.0, with new features designed to improve the management of physical records, such as paper files, books, images and compact discs, together with electronic records in Livelink. The solution brings an organization's physical records to online collaboration and knowledge management.
Livelink Records Management 2.0 is the first Web-based solution to give users a consolidated view of all records, whether physical or electronic. Physical records become searchable via a Web-based browser and can be included when users collaborate on projects and need access to critical records. The solution also gives organizations a more complete knowledge repository by consolidating all record forms wherever they reside within an organization.
"Our users have one place to manage all of our important records, wherever they reside and regardless of media type," said Noella Bordian, Corporate Records Manager at TransLink, the regional transportation authority for Greater Vancouver, British Columbia. "When users search for all the information on a specific issue, they get a complete picture of all that's available throughout TransLink."
According to a white paper developed by Doculabs, Inc. (www.doculabs.com), an independent research and consulting firm: "The Livelink Records Management platform supports the specific aspects of both electronic and physical records. It has impressive retention and disposition capabilities, and strong storage management and space allocation tools. Complete Web delivery of all records management functionality provides clients with enterprise-wide access to the records repository and database. Combined with the collaborative knowledge management capabilities of Livelink, the records management platform allows corporate records once isolated and hidden from view to be used as needed for business processes by other applications."
"Organizations need a single tool to be able to find and manage critical records, whether they sit on a server or in a file cabinet," said Anik Ganguly, Executive Vice President, Products, Open Text. "With Livelink Records Management 2.0, physical records are not only easier to find and manage, they become part of collaborative efforts and the organization's knowledge repository."
Livelink Records Management 2.0 lets records managers apply customized metadata to physical records, providing flexibility to organizations to determine what information is valuable for each different type of media. Physical records can also be included in an electronic process for managing the lifecycle of all corporate records, through the implementation of retention and disposition rules. The process ensures records managers are complying with an organization's records management policies.
Users are also able to circulate physical records and track the circulation of those records throughout the organization, pinpointing the exact location of records at any point in time. Records managers can also place "holds" on specific records that are under discovery or government access requests, to ensure they are preserved.
Introduced last fall, Livelink Records Management is the first completely Web-based comprehensive records management solution, making it an easy, low-cost solution to deploy across a large enterprise.
