Open Text Introduces Enhanced Livelink Records Management

First Solution to Fully Integrate Records Management, Knowledge Management and Collaborative Capabilities

Livelink Records Management helps organizations better manage increasing volumes of information, comply with records management practices and policies, and to more cost-effectively integrate records management tools with other technologies designed to protect and use knowledge as a business asset. Livelink Records Management allows organizations to manage the lifecycle of all corporate records, to identify vital records, and to store these records electronically for backup and recovery.

This new solution not only makes it possible to manage the lifecycle of all electronic records in the Livelink repository including physical records such as compact discs and videos it also enables records managers and other users to apply Livelink®'s collaborative capabilities to records management processes and decision making, including the implementation of retention and disposition rules. Livelink Records Management tightly integrates records and knowledge management with collaborative capabilities, enabling organizations to derive more value from their investments in these systems. Livelink Records Management provides records management functionality via a standard Web browser, reducing costs associated with training and deployment.

Livelink Records Management provides the following capabilities:

  • Establish records management classifications (file plans) and assign them to Livelink objects, including documents, folders, and compound documents. Inherit retention schedules and the records management classification from the parent folder or compound document.
  • Create Record Series Identifiers (RSIs) and define a disposition schedule for each.
  • Destroy electronic objects in Livelink at the end of their lifecycle based on retention and disposition rules.
  • Perform disposition searches against Livelink objects to retrieve those records that are ready for disposition or archiving.
  • Create special Livelink objects that represent physical media such as compact disks and videocassettes so their lifecycle can be managed in Livelink.
  • Execute all user functions, such as viewing the records management details of a Livelink object, as well as all administrator functions, such as managing records management database tables, via Livelink's Web interface.
  • Place a 'hold' on specific documents that are under discovery or government access requests so they may be preserved, even if they are scheduled for destruction.
